§ 01 / product

Pick the venue with the shortest average drive and the group can still land somewhere one person has to cross the whole city for — averaging hides the outlier by construction. MeetupIQ weights the worst case instead: the longest drive in the group is 70% of a venue's score, the average is 30%.

Ranked by the longest drive

Every candidate venue scores the longest drive in the group at 70% and the average at 30%; lowest score wins. Nobody gets quietly volunteered for the long haul.

02 · time

Vote the times, not the thread

Someone proposes the candidate times; everyone taps the ones that work for them. Slots rank by how many picked them, earliest start breaking ties — without a single "does Thursday work?" message.

03 · groups

Invite-only, per-event pins

A group is readable only by its own members, and your pin lives on one event: only that event's invitees can read it, only you can write yours, and nothing is kept across events.

04 · closure

Locks in, then tells everyone

Locking the winner writes the plan and pushes and emails it to everyone with a calendar invite attached — exactly once, no duplicate blast. The decision is the output.

05 · tasks

The plan comes with a to-do list

A task carries a title, a due date, a note and a checklist, and goes to one person, several, or nobody — left open for anyone to claim. A separate what to bring list lets people claim an item one at a time, so two people never turn up with the ice.

06 · venues

The group votes on where, too

The ranking is a suggestion. The group ticks any subset of venues, anyone adds a Google Place or a custom venue, and consensus nudges the organiser.

07 · deadline

Decide by

Set a deadline and an hourly job closes the poll, locks the top slot and fires the once-only confirmation, whether or not anyone remembers.

08 · nudges

One tap for the stragglers

A nudge goes only to the people missing an RSVP, a pin or a vote, by push and email, with a five-minute cooldown. A task can be nudged the same way.

09 · arrival

Directions after the lock

Once the plan locks, every member gets a driving ETA and directions to the venue from their own pin.

Commute here is straight-line distance at city speed on an invented map — a toy that ranks on the longest trip alone; the product blends it 70/30 with the average. In the product it is Google Distance Matrix driving time from every attendee's pin to every candidate venue, so it follows the road network rather than a straight line.

Five people, five directions. The grey dot is the plain average of where everyone stands; the coloured one is the fair meeting point, chosen to shorten the worst distance rather than the mean. Drag someone to the edge and watch the two come apart.

§ 04 / model

MeetupIQ is a small optimizer with a strong opinion about the objective function: the longest drive in the group outweighs the average, and every pin stays scoped to the one event it was dropped on.

Objective
Score every venue on the longest attendee drive at 70% and the average at 30%; lowest score wins. The worst case dominates, the mean still counts. Driving time only — there is no transit, walking or cycling mode.
Inputs
Google Distance Matrix driving time from every attendee pin to every candidate venue — the road network, not a straight line. Departure hour is not yet a variable.
Availability
Approval voting: the organiser proposes candidate slots, each member picks any subset. Slots rank by vote count, earliest start breaking ties; a slot nobody picked is dropped. Times render in each viewer's own device timezone.
Recompute
The ranking re-runs whenever a pin moves or the venue types change, and anyone who has declined drops out of the pin set.
Privacy
One pin per person per event, stored on that event alone — readable only by that event's invitees, writable only by you, and never carried across events.
Output
A locked plan with a time, a place, a calendar invite and a notified group — sent exactly once. The decision is the output, not another message.
